Instructors assign vouchers by navigating to the Manage > eLearning Vouchers option in the Instructor Portal.
All available eLearning vouchers will be listed as a total at the top of the page.
Please note: Your course must be listed for your vouchers to appear. If there are no open courses, your vouchers will not be displayed here.
If this screen is blank and you have purchased vouchers, they will appear as soon as you create a course.
Assigning vouchers to individual participants
To assign a voucher to a participant, they must already be enrolled in your course. This is visible in the course list. See the example below:
To see the list of participants in this course, select 'Assign Vouchers' next to the relevant course. Only participants who have not yet been assigned a voucher will appear in this list.
What happens when the voucher is assigned?
Once a voucher is assigned, it is allocated to that participant. This triggers a set of processes in the system to ensure the participant receives access to their eLearning.
The following steps occur in the background:
- The system checks if the participant has an account with us
- If the participant is new, an account is created in the Learning Management System (LMS)
- Once the LMS account is created, an email is sent to the participant with a link to the LMS and login details
These processes can take up to 60 minutes after the voucher has been assigned.
The eLearning creation process runs every hour on the half-hour (for example, 9.30, 10.30, 11.30, and so on).
Examples:
If you assign a voucher at 11.35am, your participant will receive their email at 12.30pm.
If you assign a voucher at 12.20pm, your participant will receive their email at 12.30pm.
