When a course has been delivered, there are a number of attendance options for participants that instructors can choose from.
- Attended
- Did Not Attend
- Withdrawn
- Transferred
- Did Not Complete
- Mark Enrolled
Attended: Participant has completed all required components of a course. For example, for a face-to-face course, if they attended both/all sessions. For blended courses, if they have completed their eLearning and attended the Instructor-led sessions. Please only use this button once all requirements are met, or it will disrupt the email automations to follow.
Did Not Attend: Participant did not complete the Instructor-led sessions; however, they have the intention to complete a course moving forward.
Withdrawn: Participant who notified you before the course commencement (either eLearning or Instructor-led session) to withdraw their participation in the course. They do not intend to continue with MHFA training.
Transferred: Used for participants who could not complete or attend the course they originally enrolled in and the instructor is transferring them to another offering. Only participants with an “Enrolled” status can be transferred. Please note that the new course must be of exactly the same course type (eg you cannot transfer someone from a Blended Community to a Blended Workplace course).
For the transfer to the other course to take place, the new course must already exist in the portal. Instructors can only transfer participants to another course they themselves are delivering. To transfer a participant to a course to be delivered by another licensed Instructor please reach out to Support Service for assistance on mhfa@mhfa.com.au or 03 9079 0200. In this instance, please provide confirmation from the other instructor that the know they will receive the participant, as well as the full details of the new course (instructor name and email address, course type and start date).
Did Not Complete: Used for participants of Blended courses who were erroneously allowed to attend the instructor led component before completing the eLearning, AND they continue to leave eLearning incomplete well after the course end date.
This function is to allow instructors to close a course and access feedback survey, while a participant’s status remains incomplete. It differentiates these participants from those who did not attend but intend to in the future, as well as those with no intention to continue.
The button is not intended to be used immediately after an instructor-led component has been delivered. In those unintended instances when participants proceed to the instructor-led component prior to completing the eLearning, Instructors should inform participants that they need to complete the eLearning as soon as possible and then notify the instructor of completion so the instructor can mark them as attended. If the participant does not follow through after a reasonable time, the instructor can then mark them as “Did Not Complete”. At this time, they will need to inform the participant to reach out to Support Services (mhfa@mhfa.com.au or 03 9079 0200) if they wish to continue to accreditation.
Mark Enrolled: This button allows instructors to return a participant’s status to enrolled. This may be required if an error was made (eg accidentally marked as did not attend) or if a participant has had attendance marked as Did Not Attend or Withdrew but they are now going to be transferred to another course. Please note, if you have accidentally marked a participant as "Attended" when they shouldn't have been, please reach out to Support Services for assistance (mhfa@mhfa.com.au or 03 9079 0200) to prevent the participant from accessing the accreditation assessment before they are eligible.
Removed: Important Note – the remove button is not to be used for marking attendance, but for fixing errors in enrolment. When participants details have been incorrectly or accidentally added, they erroneous enrolment record is removed, and all the details are added again. Please do not use the remove button:
- To remove participants who have cancelled enrolment
- To remove participants who did not attend
Also note that the remove button should not be used after eLearning has been assigned as the eLearning will remain attached to that enrolment record.
