Yes. If a participant cancels or does not attend the course, the Learner Access Pass is returned to the Instructor's inventory when the participant is marked as "Did Not Attend" in the Instructor Portal. This happens in real time.
If a course is cancelled, the six Learner Access Passes reserved for this course will be returned to the Instructor's inventory. Instructors can cancel courses in the system, provided there are no participants enrolled or marked with an EOI. Learner Access Passes are returned to Instructors in real time.
Do I need to contact MHFAI to retrieve my Learner Access Passes when a course is cancelled?
There are two scenarios.
From February 2026, if the course has no enrolments or EOIs associated with the course, the Instructor will have the ability to cancel a course and retrieve the six Learner Access Passes back to their inventory. This will happen in real time and does not require the Instructor to contact MHFAI to enable this function.
If the course has enrolments or EOIs associated with the course (even if the enrolment is marked as "Did Not Attend, Remove or Withdrew"), the Instructor will need to contact MHFAI to retrieve the Learner Access Passes. This ensures Instructors do not remove courses from the system that contact participant information.
Do I need to contact MHFAI to retrieve my Learner Access Passes when a participant cancels their enrolment?
If a course is scheduled to be delivered/id delivered but a participant cancels their enrolment, the Instructor can update their status as "Did Not Attend". In this scenario, the Learner Access Pass will be returned to the Instructor's inventory in real time.
The Instructor will not need to contact MHFAI to retrieve the Learner Access Pass.
Why can't eLearning vouchers be returned the same way as Learner Access Passes?
Learner Access Passes are items that only interact with the Instructor Portal, and no other systems. For this reason, Learner Access Passes can be returned to the Instructor's inventory in real time.
Management of eLearning vouchers differs, as the eLearning voucher interacts with two systems: the Instructor Portal and the Learner Management System (LMS). When a voucher is returned to the Instructor, a member of our team must also remove the enrollment in both the Instructor Portal and the LMS.
Currently, we don't have an automation in place that manages this for Instructors in real time.
